Collaborate with your tax agent on BAS — inside BillMate

Every BAS deadline, small businesses send spreadsheets and PDFs to their tax agent, then chase answers over email and chat. It's error-prone and hard to audit. On the BillMate Team plan, you invite your tax agent as a team member, review BAS drafts on the same screen, and exchange questions on label-specific Q&A threads.
Why collaborate inside BillMate?
Problems with the old way:
- File version chaos (Q3_final_v3_FINAL.xlsx…)
- Questions scattered across email, chat, SMS — impossible to audit
- Tax agent adjusts figures but the owner never learns why
- No concept of Period Lock — numbers keep drifting after lodgement
BillMate is designed to close the entire loop on one screen.
1. Invite your tax agent
On the Team plan, go to Settings → Team Members and invite your tax agent by email. They receive an invite link, create an account, and get immediate access to your BAS screens.
Permission model
- Owner: full access, invites/removes tax agents, controls Period Lock
- Tax Agent: BAS collaboration and Q&A only — payroll and invoicing are blocked
2. Multi-client dashboard
Tax agents manage multiple clients from one account. The My Clients dashboard lists every client with their quarterly BAS status, and the header client switcher jumps between them instantly.
3. BAS D-day banner + Agent Concession
The Reports → BAS page shows days remaining to the current deadline in Sydney time. When a tax agent is signed in, the Agent Concession (registered agent extension) is detected automatically and the banner copy updates.
4. In-app Q&A threads
Every BAS label (G1, 1A, 1B, W1…) has a chat-bubble icon next to it. Click it to open a dedicated Q&A thread for that label.
- Questions stored per label
"Why is this item excluded from G1 sales?" lives on the G1 thread forever.
- In-app + email notifications
When the other party replies, both the in-app bell and email are triggered.
- Read-only after lodgement
Once the BAS is lodged, Q&A threads become read-only, preserving the conversation context.
5. Period Lock
Once the BAS is finalised, the Owner Locks the period. Invoices and expenses in a locked period can no longer be edited.
Confirm before you lock
After Lock, invoice/expense edits are blocked until an Owner unlocks the period. Only lock once you and your tax agent agree the numbers are final.
6. Audit Trail + ATO lodgement record
Every edit — who, when, which label — is recorded in the Audit Log. After submission, use Record Lodgement to store the ATO reference number.
When should you upgrade to Team?
- You already send BAS files to your tax agent every quarter
- You've hired employees and need Payroll — included in Team
- Your tax agent wants their own BillMate account across multiple clients
