How to invite your tax agent and process BAS together

What is Tax Agent Collaboration?

On the BillMate Team plan, you can invite a tax agent as a team member and process BAS together. No more sending files over email or chat — review drafts and exchange questions on the same screen in real time.

How collaboration works
The Owner has full access to all features. The Tax Agent can only access BAS and Q&A. Operational areas like Payroll and invoice issuance are not visible to the Tax Agent.

(Owner) Invite your tax agent

Go to Settings → Team Members and invite your tax agent by email.

Open Team Members → click Invite Tax Agent → enter the agent's email → invitation email sent

The invited tax agent clicks the email link, creates a BillMate account, and immediately gains access to your BAS screens.

Team plan required
Tax agent invitations are available on the Team plan only.

BAS draft sharing + Q&A threads

On Reports → BAS, selecting a quarter shows the same draft to both the Owner and the Tax Agent. Click the chat-bubble icon next to any BAS label (G1, 1A, 1B, etc.) to ask a question directly on that label.

(Owner) Period Lock and Lodged processing

Once the Tax Agent has finished reviewing the BAS, the Owner can Lock the period to prevent further changes. Invoices and expenses in a locked period can no longer be edited, ensuring data integrity at the time of audit.

Finalise review → click Lock Period → confirmation dialog → confirm → use Record Lodgement to store the ATO reference number
Unlocking
If locked by mistake, only the Owner can unlock the period. A Lodged BAS must have its lodgement record removed before it can be modified.

(Tax Agent) Accept invitation + Multi-client switcher

An invited tax agent can manage multiple clients (businesses) from one account. Select the desired client from the client switcher at the top of the screen to jump instantly to that business's BAS screen.

Dashboard → My Clients shows the full list of clients and each quarter's BAS status at a glance.

(Tax Agent) Collaborative BAS editing

Tax agents can adjust BAS label values directly and leave notes explaining the adjustment. All edits are recorded in the Audit Trail.

Audit Trail + Notifications (both parties)

Every event — who changed what and when — is recorded in the Audit Log. BAS edits, Lock/Unlock, Lodged processing, and Q&A messages all carry a timestamp and author.

New Q&A messages, BAS changes, and Period Lock events trigger in-app + email notifications to the other party immediately.
